"GENERAL STATEMENT:
Provides diverse and confidential administrative support for Senior Officers in the Hospital Administration. The position is responsible for the successful organization and work flow of the administrative offices, which requires a thorough knowledge and understanding of the Hospital s business, policies and procedures, and governance, as well as overall knowledge regarding the levels and staff of the organization.
PRIMARY RESPONSIBILITES:
-Provide administrative and project support to a senior leadership officer of the hospital. Typically SVP and above.
-Perform work directly related to management policies and/or general business operations of BHMC.
-Manage the time and access of senior officers of the Hospital Administration.
-Manage telephone and correspondence communication of the respective senior officers in collaboration with the executive support team.
-Process all manner of databases and paperwork related to procurement, position approval, position changes, payroll.
-Undertake special projects as they relate to the operation of the Hospital.
-Position has regular interpersonal contact with a range of hospital staff and often physicians, as well as business and government representatives and the general public, including hospital patients. Is often in situations requiring considerable tact and diplomacy.
-May provide general guidance to less experienced administrative and clerical staff. Not responsible for hiring, performance appraisals, or other management duties.
-Performs other tasks as requested.
PHYSICAL REQUIREMENTS:
-Position requires prolonged periods of sitting and use of a computer and screen viewing throughout the working day.
-Position may require prolonged periods of standing, reaching, walking throughout the working day.
-Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds."
"Required Skills & Experience:
-Minimum five (5) years of increasingly responsible administrative experience. Graduate of secretarial or business school program may offset experience.
-The position requires problem-solving skills and the ability to handle matters of an extremely confidential or sensitive nature.
-Demonstrated proficiency in Microsoft Office Suite, with advanced experience in file management, and other automated systems applications.
-Demonstrated ability to work confidentially, diplomatically, cooperatively and effectively with the public, staff, physicians, government officials, and patients.
-Demonstrated ability to assist with resolving complex issues or complaints using correct hospital resources.
-Demonstrated skill in handling multiple, highly confidential, politically sensitive, or community related issues in a professional and ethical manner.
-Strong communication skills, able to communicate with senior level management, external executives and community leaders.
-Ability to fully utilize BHMC s electronic record systems, equipment and other healthcare and billing systems relevant to this position.
